This month, Eventscase has been to Seville and Madrid in the same week, launched two product tools and agreed a new partnership with a November date already in the diary in London. If we had to sum up September in one word, it would be \u201cbusy\u201d. There\u2019s more to it than a list of places we\u2019ve visited, though, so here\u2019s the full round-up: what we\u2019ve done, who we\u2019ve worked with and why it matters to us.<\/p>\n\n\n\n

Seville, MICE 360\u00ba and the institutional perspective<\/strong><\/h2>\n\n\n\n

<\/p>\n\n\n\n

On 24 September, we <\/a>travelled to Seville with AEVEA to take part in MICE 360\u00ba, a gathering organised alongside the Sevilla Convention Bureau. It brought together representatives from public institutions, industry associations and businesses to discuss the future of the city\u2019s MICE sector. The underlying question was familiar \u2014 how to get specialist businesses and institutions working towards the same goals \u2014 but hearing three different perspectives around the same table brought something fresh to the discussion.<\/p>\n\n\n\n

We value these gatherings for the different perspectives they offer. At a trade show, you speak to the people organising events; in a panel discussion, you hear from those shaping the infrastructure and support available to them. Each conversation tells us something different, and both help inform our product.<\/p>\n\n\n\n

Madrid Event Day and a busy week with Club Ichi<\/strong><\/h2>\n\n\n\n

<\/p>\n\n\n\n

While Seville was a single date in the diary, the week of 14\u201318 September was practically non-stop. It began with the fourth edition of MED (Madrid Event Day), organised by Grupo Eventoplus, which explored how the balance between creativity and production shapes the emotions an event can evoke. We joined Padcelona<\/a>, whose activation dared to \u201cpredict\u201d attendees\u2019 futures. Creativity, production and technology working together \u2014 a perfect fit for the event.<\/p>\n\n\n\n

The following day, 15 September, we presented Eventscase at Club Ichi<\/a>\u2019s 7-Minute Demo, sharing the virtual stage with other event technology solutions. The challenge is exactly what the name suggests: seven minutes to show what the tool does, why it matters to event organisers and resist the temptation to add \u201cjust one more thing\u201d. Jon Dodd led the demo, reinforcing something we often discuss internally: the question that really matters is how much work a product takes off the organising team\u2019s hands before, during and after an event.<\/p>\n\n\n\n

Our involvement with Club Ichi continues beyond the demo. We\u2019ve also announced that we\u2019ll be at the Club Ichi Meetup at Event Tech Live in London, representing the community in person on the first day of the show.<\/p>\n\n\n\n

MPI Iberian Chapter: Barcelona and Madrid, almost simultaneously<\/strong><\/h2>\n\n\n\n

The week of 23 September took us to two cities again: Barcelona and Madrid, for two distinct but complementary gatherings hosted by MPI Iberian Chapter<\/a>. These are the occasions when our technology works behind the scenes. Its role is to help people meet, talk and connect, without registration or logistics getting in the way.<\/p>\n\n\n\n

Eventscase Product: the new Event App and Check-in App<\/strong><\/h2>\n\n\n\n

<\/p>\n\n\n\n

Amid all these events and meetings, we launched two tools used throughout the everyday running of an event: the Event App and the Check-in App<\/a>. We had a very specific aim for the new versions: attendees should be able to find their way around the app without instructions, and the team at the entrance should be able to check people in without wrestling with the technology as a queue builds outside.<\/p>\n\n\n\n

The changes include an offline-first approach to check-in, so a Wi-Fi failure doesn\u2019t bring entry to a halt, alongside updates to what attendees can access through the app. Both apps use a shared database, so changes made in the back end appear immediately in the attendee app, without relying on manual synchronisation.<\/p>\n\n\n\n

What we\u2019ve been writing: from attendee fatigue to practical AI<\/strong><\/h2>\n\n\n\n

<\/p>\n\n\n\n

September has also been a busy month on the blog. We opened with an article about something every event organiser will recognise: attendee fatigue and last-minute registration<\/a>. It starts with the figures we\u2019ve already shared on social media: 45% of trade show attendees register less than four weeks before the event, 22% register in the final week and 9% only confirm when they arrive at the entrance. The article looks at how to design a badging system that works equally well whether someone confirms today or in a month\u2019s time, without relying on external reprints or paper lists.<\/p>\n\n\n\n

Mid-month, we changed topics while keeping the same practical focus. Practical AI for events, beyond the hype<\/a> covers five real applications for small teams of one or two people, where every hour counts. It focuses on everyday tasks such as drafting communications, answering recurring attendee questions, analysing feedback and personalising agendas, with one condition: every output must be reviewed before it is published.<\/p>\n\n\n\n

EVA Learning Series and the whitepaper rounding off the quarter<\/strong><\/h2>\n\n\n\n

We continue to support EVA Alliance<\/a> in its learning series on practical AI and leadership, \u201cAI, Tools & Beyond\u201d. September\u2019s session centred on an idea we share: AI becomes truly useful when it moves from experimentation into everyday workflows. That depends as much on people feeling confident enough to use it as it does on the technology itself. Daniel Rhodes and Stefanie Winter gave us a conversation full of practical insights, and there\u2019s one more session to come before the series concludes.<\/p>\n\n\n\n

We also published a more substantial piece: a whitepaper on event technology architecture<\/a>, focusing on integration, governance and data security. This kind of content takes more work to produce because the subject comes from a real problem raised in conversations with clients, rather than the usual search demand. As event teams use more tools, it becomes increasingly urgent to understand who decides what AI does with attendee data, and what happens if something goes wrong.<\/p>\n\n\n\n

We ended September by announcing a new collaboration with Event Tech World<\/a>, which will take shape on 11 November at the In-House Corporate Event Leaders Supper Club in London. For us, building relationships face to face goes well beyond introducing Eventscase. It\u2019s an opportunity to get to know the people behind each event, the challenges they face, the support they need and what they really expect from a technology partner.<\/p>\n\n\n\n

Looking back over September, a pattern emerges from all those conversations. Each discussion at an event, each EVA Learning Series session and each client question about data governance eventually leads to something: an article, a new app feature or a partnership with a date in the diary. That\u2019s the thread we want to keep following in October.<\/p>\n\n\n\n
