When we decided a few months ago that we were going to hold an ‘Innovation Meeting’ in Madrid, some things were clear from the get-go. First and foremost, we wanted to provide an avenue where we can properly listen to our audience composed of event organisers, clients, potential clients, and stakeholders. We also swore not to promote our brand from a commercial angle. We were convinced that the 1st Eventscase Innovation Meeting had to be an educational event – a genuine opportunity for knowledge sharing and networking amongst industry movers.

First roundtable discussion

We wanted to put the focus of our event on event organisers and tie up the entire agenda with an overarching theme: event technology. Thus, in the first roundtable of the day: “Case Studies: How, when and why use technology for events?”, attendees were able to listen to Alberto Mayoral, from the Communication Department of Escuelas Católicas, who explained how they were able to maximise an event app to achieve record-breaking engagement during their event “Inspiradores de Encuentros” (Inspirers of Meetings). 

Afterwards, it was the turn of Jesica Rivero, Head of Projects of the R&D Department of the ONCE Foundation, to present what the user experience of a person with a disability is – may that be visual, auditory or intellectual. She also emphasised during her presentation how technology can specifically foster inclusivity in events. 

To end this roundtable, Francisco Moreira, Managing Director of Digital Tech Events, recounted his experience of more than 13 years in using technology for events and how he has maximised it to offer quality formats to all their clients around the world.

Understanding where we’re headed as a sector

The second roundtable paved the way for us to understand the current state of the events industry. We started the debate by watching a recorded video from two years ago showing some representatives of major events associations in Spain. After watching it, we asked ourselves the question “Where are we going as a sector?”. This was in fact the title of the second roundtable. 

Matilde Almandoz, President of OPC Spain and the MICE Forum; Fátima Barbero, Vice President of EMA; César González, President of AEVEA and Juan Martínez, President of MPI Iberian Chapter, reviewed the challenges we are facing as a sector, highlighting talent management as one of the emerging problems. Advocating the exercise of constant adaptation to change, they all agreed on the good prospects that are on the horizon for all those involved in the events industry.

Tech content for non-techies

After these two roundtables, it was time for the more technical part of the event. Iván García, CTO and co-founder of Eventscase, reviewed the change that has taken place in the software development industry, moving from hard-code to low or no-code. He wanted to highlight the importance of tools such as Notion or Make and their usefulness in event management, specifically in project management. These tools have the capacity to make the life of event organisers simpler and more productive, leaving behind repetitive tasks.

Finally, María Pérez, Project Management Director of Eventscase, closed the event with the presentation: “Integrate or Die: Why choose one tool if you can have them all?” where she focused on the example of the Valencia Digital Summit, Startup Valencia’s flagship event. She emphasised the use of Zapier as an integration tool and how its use reduces the economic and time costs involved in working simultaneously with several technological tools. 

Conclusions

The feedback we received on the day of the event and afterwards has been incredibly positive and encourages us to hold a second edition. We are very grateful for all the help and collaboration we received from all parties involved.
