Onsite badging is no longer just an operational task; it has become a key part of the arrival experience. At an in-person event, the first impression begins long before the first session on the agenda starts: it begins when attendees arrive at the venue, check in and receive their badge. If that process is slow, confusing or creates queues, it affects the overall perception of the event. If, on the other hand, it is fast, clear and well managed, it conveys organisation, attention to detail and professionalism.
That is why the evolution of Eventscase’s onsite service is no longer only about printing faster. It is about offering a complete solution that combines software, hardware, consumables, design and expert support. The addition of the EPSON C4000 fits perfectly into that evolution as a new development within our onsite service.
A new addition that expands what we can do onsite
The incorporation of the EPSON C4000 represents a major improvement in the way badge printing can be approached during an event. Within our onsite packs, this printer is integrated into AUTOPRINT/HELPDESK solutions together with iPad, stand, connectivity and Kiosk software, which confirms that it is not an isolated element, but one more part of a complete operational setup.
Its value lies in enabling work with inkjet badges and formats designed for more visual onsite printing, with a stronger presence and greater scope for personalisation. In fact, it is integrated into our ultra-fast printing offering, designed for autoprinting and helpdesk, with double-sided, die-cut badges suitable for lanyards, without the need for badge holders.
This opens up a very interesting option for events that require more than just a functional label: congresses, corporate meetings, summits, trade fairs and professional events where the badge also communicates brand, category and level of experience.

What the EPSON C4000 brings to onsite badging
One of the most interesting advantages of this printer is that it brings us closer to a more complete, more visual and better resolved badging model directly at the venue. According to our event access control and accreditation specialists, the ideal approach is to use the C4000 printers directly to produce the entire onsite badge, rather than simply finishing a previously prepared support.
What does this mean in practice?
It means that organisers can aim for a more polished badge without sacrificing speed. It also means that it becomes easier to differentiate attendee profiles, incorporate colours by category, reinforce the visual identity of the event and maintain agile operations during peak arrival times.
The EPSON C4000 prints, but it also helps raise the perceived quality of the arrival experience.

Much more than a printer: what an onsite service really includes
When we talk about onsite service, it is worth avoiding an overly narrow view: it is not just about placing a printer at the venue. Our onsite service is defined as a turnkey solution made up of software, hardware, consumables and expert guidance.
This includes the following main elements:
Kiosk App for autoprinting and helpdesk
The Kiosk App makes it possible to manage the attendee list, facilitate self check-in and connect badge printing to the access flow. This is particularly useful when the aim is to reduce queues and give some attendees greater autonomy, while still maintaining a support point for incidents or last-minute registrations.
Check-in App for access control
In addition to autoprinting, the service can also rely on the Check-in App, available for Android and iOS, with features for scanning QR codes, managing check-in and check-out, controlling capacity, both for the event overall and for individual sessions, and synchronising data even without a constant connection.
Hardware adapted to each event
Not all events need the same configuration. That is why the onsite service can be structured with different packs and devices: iPads with stands, Zebra thermal printers, Brother inkjet printers, the new EPSON C4000, 4G routers, check-in phones and even infrared PDAs for certain access flows.
Consumables based on the type of badge
Another important point is that there is no single possible onsite badge. There are different consumables depending on the objective of the event: glossy double inkjet badges, thermal badges, white or transparent adhesive labels, pre-printed A4 paper or ECO A6 card.
This makes it possible to adapt the solution according to budget, attendee volume, event duration or the desired level of personalisation.
Setup and expert support
The onsite service does not end with sending out the equipment. It also includes booking, loading, installation and hardware setup, as well as the option of having an onsite manager and other operational and staffing elements depending on the event.
In addition, we can support the client during the venue visit, define the best location for printers and staff, and act as onsite consultants to design the most efficient flow.

What types of badge can we offer onsite?
With the current service, we can speak of several onsite badging options:
Full-colour badge
This is the option that best fits the EPSON C4000 when the goal is to take greater care over the final finish and give more prominence to the event brand.
Adhesive label
Very useful for fast-moving flows, alternative supports or setups where operational simplicity is the top priority.
ECO card or pre-printed paper
An effective option for small events or one- or two-day events, where the aim is to contain costs without giving up basic onsite personalisation.
Why this new development matters for event organisers
The major advantage of incorporating a printer such as the EPSON C4000 lies not only in the device itself, but in what it allows us to build around it: a more organised arrival, a badge with a better finish, more flexible operations and a solution capable of adapting to different types of event.
For organisers, this means being able to choose between extreme speed, premium finish, sustainability, alternative formats or a combination of several factors. For attendees, it means a smoother arrival and a better executed badge. And for the event itself, it means that the onsite experience is aligned with the brand image the organiser wants to project.
Onsite service is no longer just printing, it is designing the arrival experience
Onsite badging will continue to be an operational necessity, but today it is also an opportunity to improve the event experience from the very first minute. The arrival of the EPSON C4000 to our onsite service reinforces precisely that idea: it is not just about printing badges, but about doing it better, with more options and with a comprehensive proposal that combines software, hardware, consumables and expert support.
Because when access works well, the whole event starts better.
